Information on PROTECTION OF PERSONAL DATA PROCESSING in accordance with the GDPR regulation Art.13

1. Information and contact information on the Administrator. Q. I. P. Ltd., Co. Reg. No: 25537652, Sokolova 696 / 32, Horní Heršpice, 619 00 Brno, registered in the commercial register maintained by the Regional Court in Brno, Insert No. C 31514, www.qip.cz (hereinafter referred to as the “Administrator”)

2. Data subject classification and the processed personal data. The Administrator is or can be provided with the following personal data by the data subject (see the classification below); or the Administrator can obtain the data different way: (i) natural person business partners and customers of the Administrator (esp. freelancers) - the following personal data are processed (apart from other possible personal data obtained or provided by the data subject):

a) the name and surname; b) title; c) address; d) publically accessible information on the data subject from the particular commercial register;
e) personal number; f) business registration number; g) account number; h) telephone number; i) e-mail address; j) order record; k) record of services/goods provided and delivered and record of other data immediately connected with the legal relation; l) record on receipts given; m) payment record; n) record on business communication between the Administrator and the data subject; o) signature

(ii) natural persons dealing with the Administrator on behalf of legal person business partners and customers – the following personal data are processed (apart from other possible personal data obtained or provided by the data subject):

a) the name and surname; b) title; c) working position d) telephone number; e) e-mail address; f) record on business communication between the Administrator and the data subject; g) signature

(iii) job applicants applying for a job with the Administrator without a work contract or another contractual relationship with the Administrator – the following personal data are processed (apart from other possible personal data obtained or provided by the data subject):

Applicant´s CV data or the data obtained in the job interview – regularly mostly the following: a) the name and surname; b) birth certificate number; c) title; d) maiden name; e) health condition; f) permanent residence address; g) telephone number; h) driving licence data; i) information on former job, duties and responsibilities etc.; j) record on work trainings attended; k) signature

(iv) Potential business partners (freelancers) + natural persons dealing on behalf of potential legal person business partners and customers of the Administrator who the Administrator has been communicating on business with (especially the communication between the Administrator and potential business partners concerning contracting out demands for goods and services, or more precisely, Administrator´s offer to supply the potential business partners with goods and services) without any contractual relationship formed – the following personal data are processed (apart from other possible personal data obtained or provided by the data subject):

The data provided in potential business partner offers, the data obtained in business communication between the Administrator and the potential business partner, particularly mostly the following: a) the name and surname; b) title; c) place of residence; d) working position; e) publically accessible information on the entity from the particular commercial register; f) personal number; g) business registration number; h) telephone number; i) e-mail address; j) record of orders; k) record on business communication between the Administrator and the data subject; l) signature

3. Objective of data processing and the legal entitlement for the processing, legitimate interests Personal data will be processed manually and with help of information systems in order to meet the objective and for the period of time mentioned below:

(i) personal data in item 2, paragraph marked with (i) and (ii) are processed in order to make and perform a contract for the duration of the contract. Fulfilling contractual obligations entitles the Administrator to process the data.

(ii) personal data in item 2, paragraph (i) marked with character a), c), d), e), f), g), k), l), m) herein are further processed in order to fulfil the obligations of the Administrator arising under the law (for particularly tax and record purposes) for the duration of a contract and further after termination of the contract formation with the Administrator for the period of time required by legal regulations. Fulfilling legal obligations entitles the Administrator to process these personal data.

(iii) personal data in item 2, paragraphs marked with (i) and (ii) are processed in order to protect the Administrator´s legal claims, as well as those of the data subject, in order to increase both Administrator and the data subject legal protection, e.g. in case of a legal dispute with the data subject or in case of enforcing (alleged) claims of any third party for the duration of a contract and further on for a period of ten year time after the termination of contractual relationship between the contraction parties - taking into account the maximum possible legal period of limitation. The performance of processing the data also covers possible transmitting of personal data to the data subjects listed in item 4 (see below). A legitimate interest entitles the Administrator to process these personal data.

(iv) Personal data in item 2, paragraph marked with (iii) are processed in order to choose a suitable applicant for a job with the Administrator. Personal data are stored for a period of six months after hiring an employee for particular position after the selection process is finished (i.e. not the applicant in selection process). A legitimate interest entitles the Administrator to process these personal data.

(v) Personal data in item 2, paragraph marked with (iv) are processed for the purpose of especially suitable contract formation with a potential business partner and the selection of the business partner. These data will be processed in a three-year time period after the termination of business communication with particular potential business partner. A legitimate interest entitles the Administrator to process the personal data.

4. Classification of recipients who the personal data are or will be made accessible to.

Personal data are transmitted, will be or can be transmitted by the following recipients just in the extent sufficient for the business activity carried out for the Administrator and (or) in such extent which is in full accordance with legislation or in extent which is vital for running the business of the Administrator:

a) external contractors - especially wage accountants, tax advisors, the company providing occupational safety and fire protection services, the company providing training courses, the audit firm, the IT company, the contracting medical doctor, the law firm, the insurance company and possibly other external contractors providing services for the Administrator; b) public authorities pursuant to the law;

Personal data will not be transmitted and will not be made accessible to any recipients in the third countries or to international organisations.
